Answers to the most common questions about the managed SFTP Server
What is an SFTP server and why isn't email or Drive enough?
SFTP is the standard protocol for transferring files in an encrypted, controlled way. Unlike email or Drive links, each client or vendor gets their own user with defined permissions, everything travels encrypted, every operation is logged, and you can revoke access instantly. It's the channel that enterprises, insurers, banks and healthcare organizations require for exchanging information.
What exactly does the monthly plan include?
The monthly plan covers everything you need to operate: the SFTP server to receive and deliver files, encrypted storage, antivirus, security certificates, two-factor authentication, availability monitoring, technical support and the full initial setup. We host and maintain the server; you just hand credentials to your users. Process automation is an add-on service quoted separately.
Is automation included in the plan?
No. The plan covers the infrastructure and operation of the SFTP server; automation is an additional, custom service. Every company's processes are different, so we analyze yours, define what can be automated and price it according to complexity: emailing a notification when a file arrives is not the same as validating its contents, transforming it and integrating it with your ERP. It's billed as a one-time fee for building the workflow.
What processes can I automate when a file arrives?
Practically any workflow: validate format and content, notify your team or your clients, push the information to your API, ERP or CRM, generate reports, move files between folders or trigger processes in third-party systems. Tell us which manual task is eating your time today and we'll tell you whether it can be automated and what it would cost.
How secure is my information?
Files travel encrypted and are stored encrypted, in a space separated from the public access point. Every file is scanned by antivirus, signing in requires two-factor authentication, and the system blocks suspicious access attempts. Depending on the plan you also get auditable encryption keys, a dedicated private network and full activity auditing.
Do my clients and vendors need to install anything special?
No. The service includes a web panel: they open a page, sign in and upload or download files from the browser, like in any cloud drive. And if your IT team or a vendor would rather use software, any free SFTP client works just the same: FileZilla, WinSCP, Cyberduck or the command line. You just hand out the username and password.
How long does implementation take?
The server is live within days: we set it up, configure the security, create the users with their permissions and run connection tests with you. If you also add custom automation, timing depends on the complexity of the workflow and is defined when we quote it.
What happens if I exceed my plan's storage?
Nothing stops. We let you know when you are getting close to the limit, and if your volume grows steadily you move up a plan: the change is immediate, requires no migration and doesn't affect your users' credentials. Usage beyond what your plan includes is billed at the end of the month based on actual consumption.
